We are seeking a dedicated, detail-oriented Payroll & Employee Services Specialist to join our Payroll & Employee Services team on a temporary basis (Maternity Leave Cover).
In this role, your main purpose will be facilitating interactions between our employees and the Payroll & Employee Services, ensuring that hiring, payroll, and termination processes act as a true differentiating factor in the IT market. You will act as the main point of contact for all payroll-related issues, ensuring accurate and timely processing while maintaining strict compliance with all relevant regulations.
Key Responsibilities
Payroll Activities & Management:
Prepare and validate all data for the monthly payroll process, including the validation and approval of employee portal information (absences, vacations, fiscal status, timesheets).
Manage the processing and financial reconciliation of complex payrolls, ensuring accurate and timely payment of regular and one-off compensation (salary updates, extra-time, per diems, bonuses, incentives, internship grants, Christmas/holiday allowances, and reimbursements).
Define and manage annual and monthly Payroll Calendars, including timesheets, holiday allowance schedules, and salary transfers.
Handle the operational management of daycare vouchers, meal card orders, and IBAN updates.
Prepare and mail contractual reports, annual income statements, and handle payroll benefit management.
Employee Records & HR Administration:
Create and maintain up-to-date employee records in the ERP/HR systems (personal data, fiscal situation, etc.).
Validate, collect, and archive necessary documentation (Digital & Physical).
Generate monthly reports on timesheet fulfillment for management.
Legal & Regulatory Compliance:
Responsible for social security communications (employee entries, exits, and required data updates).
Draw up salary and income statements for insurance companies.
Respond to mandatory annual legal surveys and statutory requirements (e.g., GEP, Relatório Único).
Stay updated on payroll strategy changes, tax updates, and minimum wage adjustments.
Essential requirements
Education: Academic Degree in Human Resources, Business Administration, Finance, Accounting, or a related field.
Experience: Sound experience in payroll processing, HR administration, and executing HR workflows and procedures.
Technical Knowledge & Tools:
Practical knowledge of Primavera ERP and Workday is strongly preferred.
Strong domain knowledge of HR Administration, Data Management, and Portuguese Labor Law / Social Security compliance.
Proficiency in Microsoft Excel.
Soft Skills & Competencies:
Exceptional attention to detail, accuracy, and strong problem-solving skills.
High customer-service orientation and strong interpersonal/communication abilities.
Excellent organizational, time management, and adaptability skills (ability to step in quickly for a temporary coverage role).
Proven ability to handle confidential data with strict ethical conduct and resilience in a fast-paced environment.
Languages: Fluent in Portuguese and English.
